In addition, the publication database serves as documentation and external presentation of the scientific activities of the Vinzenz Gruppe, their member hospitals and related institutions. This site is powered by EPrints 3, free software developed by the University of Southampton. Mission and ServicesThe Vinzenz Group's central publications database provides all employees of the Vinzenz Group's hospitals with the organizational and technical framework for documenting their scientific publication activities and for the electronic publication of scientific documents. Scientific documents and publication-related metadata are made available on the intranet and internet in compliance with international open access quality standards. Furthermore, the publications database serves to document and externally present the scientific activities of the Vinzenz Group, its hospitals, and other affiliated institutions. The publications database is operated by the University of Southampton, which provides the necessary software (EPrints: https://www.eprints.org/), storage space, integration into catalogs and search engines, and technical support. Furthermore, the publications database is integrated into the intranet and internet pages of the Vinzenz Group's hospitals. The database entries are accessed via national and international library catalogs, search engines, and other retrieval tools. The operation and further development of the publication database are integrated into national and international initiatives and projects such as the Open Archives Initiative (OAI). ContentThe Vinzenz Group's central publication database offers the option of storing references to scientific publications (metadata such as authors, titles, journals, etc.) as well as full texts and other digital files (text, graphics, audio, or video sequences). Procedures and ResponsibilitiesAll employees of the Vinzenz Group hospitals are required to make their scientific publications (partial and primary authorship) available in the Vinzenz Group publication database as soon as legally and organizationally possible. The minimum requirement is the entry of publication-related metadata (authors, title, journal, etc.); where legally possible, the full text should also be included in the database. Support with entering data into the publications database is available from:
Data entry is generally carried out by the authors themselves. Personal registration is required for entry; access data is provided by the librarian. Each entry requires approval before it can be viewed publicly. The specific process depends on the different circumstances at each institution. By default, approval is provided by the librarian. Articles published before the publications database was launched should also be included. The aim is to achieve the most complete collection of publications possible, especially for the period since 2007. The librarian is responsible for importing existing literature collections into the publications database. Copyright AspectsWhen publishing a scientific work with a publisher, the usage rights for the publication are usually regulated in a publishing contract (or through the general terms and conditions). Depending on the publisher or journal, the rights retained by the authors may be more extensive or more limited. All employees are encouraged to secure additional usage rights when concluding publishing contracts and to additionally publish their authored documents – possibly after a embargo period – in the central publications database. Many publishers explicitly allow their authors to self-archive with open access in an institutional document repository such as the central publication database. In most cases, the accepted manuscript (author's post-print) may be openly deposited, and only rarely the published publisher's PDF (publisher's version). Sometimes these documents can only be made openly accessible after an embargo period of 2-24 months from initial publication. When publishing electronic documents, compliance with third-party copyrights and exploitation rights is the responsibility of the authors or publishers of the electronic documents. Publication in the Vinzenz Group's central publication database does not preclude further publication of the documents in academic journals or monographs, or on other servers; the authors' copyrights remain intact. Extended Usage Guidelines according to OpenDOARTo further clarify copyright aspects and ensure compliance with international standards, the usage guidelines are listed below in more detail in English according to the recommendations of OpenDOAR (https://www.opendoar.org/tools/en/policies.php).
